Summary:
The Senior Executive Assistant provides high-level administrative and executive support to the NIH Chief Information Officer (CIO), Deputy CIO, Chief Information Security Officer (CISO), and Deputy CISO. This role requires exceptional organizational skills, discretion, and the ability to interface with leadership on sensitive and time-critical matters.
Job Duties and Responsibilities:
- Manage calendars for executive leadership, including scheduling, rescheduling, and coordinating meetings/events.
- Serve as the primary point of contact for executive leadership, handling inquiries and directing communications.
- Prepare and edit correspondence, reports, and presentations as needed.
- Make travel arrangements in compliance with HHS travel policies, ensuring timely submission of vouchers and reimbursements.
- Maintain and track action items, follow-up tasks, and data calls requiring executive signatures.
- Support executive-level meetings by arranging agendas, recording minutes, and distributing actions.
- Optimize office processes and troubleshoot administrative issues proactively.
Minimum Qualifications:
- Bachelor’s degree in Business Administration or related field.
- 5+ years of experience as an Executive Assistant supporting senior leaders (C-level or government executive level).
- Advanced Microsoft Office skills (Word, Excel, PowerPoint, Teams, Outlook).
- Excellent written and verbal communication skills.
- Ability to handle confidential information with discretion.
- Strong attention to detail and ability to prioritize in a fast-paced environment.
